What Happens After You Approve a Custom Packaging Sample
A custom packaging sampling process is the gap between a photo and a bulk carton that still fits the product. Approving a sample is not the same as releasing mass production. It is the last chance to lock size, opening and print before the factory cuts a run you cannot cheaply unwind.

What “sample approved” should mean
Write down what you approved: inner size, lid behavior, insert, wrap paper, and print method. If the email only says “looks good,” the factory still has open questions. A useful approval names the sample code and says “no further size or insert changes.”
A white sample and a printed sample are different gates. The white sample locks fit. The printed sample locks color on the actual paper. Approving print on a screen and fit on a different size is how programs slip.
If two people approve different things — marketing signs the foil, operations signs the fit — put both names on one email. The plant will follow the last written lock, not the Slack screenshot.
White sample first
The first physical box should be unprinted or lightly marked. You check whether the product sits, whether the lid meets, and whether the insert holds through a short shake. If the product is still in mold, say so and treat the white sample as a structure check, not a bulk release.
Do not add foil, a second SKU, or a window on the same day you approve the white box. Those are new specifications. A window changes the dieline. A second cavity changes the insert. Foil needs a plate that should not be cut until the lid size is stable.
Empty-box freight is also a sample question. If the gift box will later travel inside a mailer, approve that nest as well. A lid that looks fine on a desk can crush when a mailer is sized too tight.
Printed sample second
Print on the wrap or carton you will actually buy. Pantone on coated art paper does not look like Pantone on kraft. Foil position should miss magnet wells and fold scores. If the printed sample is late because artwork changed, that delay belongs to the brief, not to a hidden factory calendar.
Ask for the printed sample packed the way bulk will pack: same tissue, same sticker placement, same inner carton count if you already care about that. Visual approval of a naked box misses scuffs that only appear after packing.
What still stays on the quote
Board caliper, exact MOQ, unit price and production lead time are confirmed on the quote for the approved spec. This article does not publish a site-wide window. Sample freight is typically paid by the buyer, as already noted on the custom packaging process page.
Certificate copies listed on Factory — including ISO 9001, ISO 14001, FSC, SGS, Sedex SMETA, REACH and the SC food-contact production license — can be requested on the same thread if a retailer file needs them. Asking after the PO is signed is how vendor onboarding slips past the production slot.
After approval: what the factory does
The plant repeats the approved structure: same dieline, same insert cavity, same print method. Incoming, in-process and outgoing checks should match this order, not a generic album. If you change height by a few millimeters after approval, you are starting a new sample, even if the logo stays the same.
Artwork “small tweaks” after a printed sample are still new plates if the foil or the spot UV moves. Say whether the change is color-only or position. Color-only on CMYK can sometimes reprint on the same die. Position changes usually cannot.
Keep the approved sample. Photograph it with the sample code visible. When the first bulk carton arrives, compare to that photo, not to a mood board from six months earlier.

Can I skip the white sample to save time?
You can. You then risk a printed lid that does not meet. For a first structure, the white sample is usually the cheaper gate.
What if only the artwork changes?
Say so. Fit can stay. Print is a new approval. Do not treat a new foil plate as “the same sample.”
When do I send the bulk PO?
After the packed sample is accepted in writing, including the shipper if the box travels in a mailer.
Who pays for a remake if I change the product?
If the product size moved, the remake follows the new brief. If the factory missed the approved code, that is a different conversation — keep the sample and the email.
